Statement layout

How US bank statements are laid out

Month first, often without the year

Dates are printed month first, and banks such as Ally and Capital One show only the month and day, leaving the year to the statement period. The converter takes the year from that period, so a December-to-January statement keeps every row in the right year.

Deposits and withdrawals, sometimes in sections

Few US statements use one amount column. Bank of America lists deposits and withdrawals in separate sections, many banks add a checks-paid list, and PNC prints a daily balance table that isn't activity at all. The rows you get have one signed amount: deposits positive, withdrawals negative.

Cycles that ignore the calendar

Chase says a period usually runs 28 to 32 days and Citi uses 28 to 31, so a March statement can start in late February. Several banks also put checking, savings and CDs on one statement; give each account its own register.

Output and review

What you get back, and what gets checked

Each statement becomes rows of date, description, amount and balance, as Excel, CSV or JSON, or as a CSV laid out for QuickBooks or Xero. Before you export, the beginning balance plus deposits minus withdrawals is compared with the ending balance. In your account, statements for the same account are lined up by date, so a missing month, an overlap or a repeat upload is flagged.

Importing into QuickBooks or Xero

  • QuickBooks Online

    Upload the QuickBooks CSV to the matching bank account and confirm the date, description and amount columns. If Web Connect or Direct Connect already feeds recent months, import converted statements only for earlier dates.

  • Xero

    Xero can't read a PDF statement, but its bank statement import takes CSV. Map the columns on the first file and Xero reuses that mapping for the months after it.

FAQ

Questions about US bank statements

Why don't my converted rows match the calendar month?
Because most US statement cycles don't. Many end on a day set when the account was opened. Every date comes out in full, so filter the rows to the month you're closing.
My bank already has a CSV or QuickBooks download. Do I need the statement?
For recent months, probably not. But Wells Fargo's download covers 90 days by default and U.S. Bank's 18 months. For older periods, or figures that must tie to the beginning and ending balances, convert the PDF.
What about a statement that covers several accounts?
Chase, Ally, Citi, Truist and Navy Federal can all do this, with a section and balances for each account. Import each account's rows into its own bank account and reconcile them separately.
