PDF bank statement to Xero: convert it to a Xero statement file, every row checked
Upload a PDF, scan or photo of a bank or credit card statement. Check every row beside the original page, then download a Xero CSV, in the layout of Xero's statement import template, or an OFX file, and add it with Import a Statement in Xero.
- Bank and credit card statements from any bank, multi-page PDFs, scans and phone photos
- Every row beside the original page, with a balance check, before you download
- The same rows as Excel or CSV for your files, and QuickBooks files too

How it works
3 steps to Xero
-
Upload and check
Drop a PDF, scan or photo of the statement. The rows open beside the original page, so you can fix any cell, and a balance check shows when the opening balance plus credits minus debits equals the closing balance.
-
Download the file
Open Export and choose Xero CSV or OFX. Excel or CSV for your records come from the same rows.
-
Import a Statement in Xero
In the Accounting menu, select Bank accounts. For the account, click the menu icon, then select Import a Statement. Choose the file, assign the Date and Amount columns if Xero asks, confirm the date format, review the lines and click Complete import.
These are the steps Xero Central gives. We haven't tested pdf2text's files in a Xero organisation: the Xero CSV follows the layout of Xero's statement import template, and the OFX file is a standard bank file.

Upload the PDF in Xero, or convert it first?
Xero's answer depends on where your organisation is. In the US and Canada, Xero can import a PDF statement itself. For the rest of the world, Xero Central says PDF bank statements can't be imported into Xero and suggests a conversion service. Here is Xero's PDF import as its help describes it, next to pdf2text.
| Feature | PDF import in Xero | pdf2text |
|---|---|---|
| Where it works | Xero organisations in the US and Canada, not on the Xero Ledger plan | Any browser, for statements from any country, whatever software you import into |
| What you upload | A PDF in English, up to 100 pages and 35MB, at least 200 DPI, scanned straight and not password protected | A PDF, scan or phone photo of a bank or credit card statement, from any bank, in English or another language |
| Which banks | Validated for listed US and Canadian banks; others are accepted, but the accuracy might vary | Any bank, with every row shown beside its page |
| Checking the rows | The import's review screen, where you clear any line you don't want before Complete import | Every row beside the original page, editable, with a balance check from the opening to the closing balance, before you download anything |
| What you get | Statement lines in the Xero bank account you chose | A Xero CSV or OFX file, and the same rows as Excel or CSV to keep |
| Other accounting software | Built into Xero | A .qbo, OFX or QuickBooks CSV file for QuickBooks Online, and Excel or CSV for anything else |
Use the PDF import in Xero if
- Your Xero organisation is in the US or Canada and not on Xero Ledger.
- Your statements are in English, from a listed bank, and Xero reads them correctly.
- You only need the lines in Xero, not a file to keep.
Use pdf2text if
- Your Xero organisation is outside the US and Canada, where Xero Central says PDF statements can't be imported.
- You want to check every row and the balances against the page before anything reaches Xero.
- You need the same rows as Excel or CSV for the client file or an audit trail.
- You also work in QuickBooks Online or other accounting software.
Hubdoc, which Xero Central says comes with every Xero business edition subscription, also turns a PDF statement into a CSV for Xero, with validated results for listed US and Canadian banks. pdf2text and Hubdoc compared
