Convert Canadian bank statements to Excel

Canadian banks keep about seven years of statements online, but their downloads stop much sooner: 45 days for TD's accounting software export, 13 months at CIBC. Older months, and anything that has to match what the bank issued, start from the PDF. French statements from Desjardins and National Bank come through with their numbers fixed. Pick your bank, or upload a statement.

Statement layout

What Canadian statements look like

Two money columns and no year

RBC and CIBC put withdrawals and deposits in separate columns beside the balance, and RBC, TD and ATB print only the month and day, leaving the year to the statement period. The two columns become one signed amount, and the year is filled in, even on statements that cross New Year.

French statements

Desjardins and National Bank statements may be in French, written 2 345,22 with a comma for the decimal and a space for thousands. Those become ordinary numbers like 2345.22. Descriptions stay as printed; nothing is translated.

Details on a second line

Card purchases often put the city and province under the merchant, and Interac e-Transfers put the recipient there. Those lines are joined to the transaction above, so one purchase stays one row.

Output and review

Rows, checks and exports

Each statement becomes rows of date, description, signed amount and balance in Excel, CSV or JSON, or in CSV layouts for QuickBooks and Xero. The rows are tested against the opening and closing balances before you export. Convert a year for one account while signed in and any missing month, overlap or repeated statement is flagged. USD accounts stay in US dollars.

QuickBooks, Xero and Sage

  • QuickBooks Online

Upload the QuickBooks CSV to the matching bank account and confirm the columns. Give each USD account its own bank account.

  • Xero

Use the Xero CSV with the bank statement import. You map the columns on the first file, and later files follow it.

  • Sage Accounting

Import the plain CSV as bank transactions. TD's and CIBC's own Simply Accounting downloads stop at 45 days and 13 months, so older periods come from statements.

FAQ

Questions about Canadian bank statements

Can it read French-language statements?
Yes. Comma decimals and space-separated thousands become ordinary numbers, and dates come out in full. Headings and descriptions keep their original language.
Why convert when my bank already offers a download?
Because downloads stop early, while statements go back about seven years at most banks and carry the opening and closing balances a reconciliation needs.
How do I handle a US dollar account?
Convert its statements on their own and import them into a USD bank account. Nothing is converted to Canadian dollars, so the two currencies never share a column.
