How to import a PDF bank statement into QuickBooks Online
QuickBooks steps checked against Intuit's QuickBooks Online help on October 12, 2026. Intuit renames menus from time to time; the sources at the end link the current help pages.
In short
- QuickBooks Online's Upload from file reads transaction lists: CSV, QBO, QFX and OFX files. A PDF statement has to become one of those first, unless your US account offers Intuit's own PDF statement upload.
- The CSV needs 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit). In a 3-column file, money out is negative.
- Every date in the file must use the same format, and you pick that format when you map the columns.
- One upload takes up to 1,000 lines and 350 KB. Check the totals against the statement before you categorize anything.
Steps at a glance
-
Convert the PDF statement to rows
Upload the statement to a bank statement converter and check the dates, descriptions and amounts against the original page.
-
Export a QuickBooks file
Download a 3-column CSV (Date, Description, Amount) with money out as negative numbers and one date format, or a .qbo Web Connect file.
-
Open Upload from file
In QuickBooks Online go to Bank transactions, select the account's tile, open the Link account dropdown and select Upload from file.
-
Choose the account and map the columns
Select the file and the QuickBooks bank or credit card account, then match Date, Description and Amount and pick the date format the file uses.
-
Import and check the totals
Select the transactions to import, then compare the money in, money out and ending balance with the statement before you categorize and reconcile.
Why convert
Why the PDF can't go straight in
A bank statement PDF is a printed page: columns, page headers, running balances and totals laid out for people to read. QuickBooks Online's Upload from file reads lists of transactions instead, one per line. Intuit's help names .csv, .txt, .qbo and .ofx files for that upload and also accepts QFX, and it suggests a QBO file where you have one.
Intuit's US help page now also describes uploading a statement as a PDF or image: QuickBooks reads it, may hold some items for review, and shows the statement beside what it extracted. The statement has to be in English. The UK and Canadian versions of the same help page list only QBO, QFX and CSV files. If that upload is in your account and handles your statement, it is a fair option.
Converting first is the route when the option isn't there, when the statement isn't in English, when you're catching up months or years of statements, or when you want every row checked against the page before anything lands in the books. Your bank's own CSV or QBO download is simpler still where it covers the period, but those downloads often stop after a year or two while statements go back much further.
Step 1
Convert the statement with pdf2text
Upload the PDF to the bank statement converter. Digital PDFs, scanned PDFs and phone photos all work. The rows open next to the original page: date, description, money in and out, and the running balance where the statement prints one. You can correct any cell before you export, and the export uses your edits.
The first page of each statement is read free, with just an email (no card). A one-page statement shows part of its page. If the rows look right, pay once for that statement to read the rest: the price depends on its page count and is shown before you pay. There are monthly plans for regular volume, and no subscription is needed for a single statement.
When the opening balance plus credits minus debits equals the closing balance, the workstation shows a Balances check line above the transactions. On our accuracy benchmark, PDF2TEXT got 98% of numbers correct across 82 hand-checked real-world pages (see the benchmark against free tools). Still compare the rows with the statement before you import them.
What the Export menu gives you for QuickBooks
- QuickBooks CSV: the 3-column layout below (Date, Description, Amount), money out negative.
- QuickBooks (.qbo): a Web Connect file, so QuickBooks doesn't ask you to map columns.
- Date format: Automatic follows the statement's country (MM/DD/YYYY for US and Canadian banks, DD/MM/YYYY for UK, Australian and most other banks), or choose DD/MM/YYYY, MM/DD/YYYY, YYYY/MM/DD or YYYY-MM-DD. The menu shows the format next to QuickBooks CSV and remembers your choice.
- These accounting files come with a paid statement or any plan. The free first page exports as Excel, CSV or JSON, which you can shape into the layout below yourself.
The file
The CSV layout QuickBooks Online accepts
Intuit's rule is short: each file has either 3 columns (Date, Description, Amount) or 4 (Date, Description, Credit, Debit). A statement's running balance is a fifth column, so it has to go.
| Layout | Columns | Amounts |
|---|---|---|
| 3 columns | Date, Description, Amount | One signed amount per row: money in positive, money out negative with a minus sign (-86.40). |
| 4 columns | Date, Description, Credit, Debit | Money in under Credit, money out under Debit, as plain numbers. Leave the other cell blank, not 0. |
A 3-column file (the layout of pdf2text's QuickBooks CSV)
Date,Description,Amount
10/01/2026,Deposit from Harbor Design LLC,2500.00
10/03/2026,Office Supply Co,-86.40
10/07/2026,Transfer to savings,-500.00
10/31/2026,Monthly service fee,-12.00
Rules from Intuit's guidelines
- Put the column names in the first row and use exactly Amount, Credit or Debit: no extra words such as 'Debit amount'.
- Write every date in the same format. Intuit recommends dd/mm/yyyy; what matters is that the whole file uses one format and you choose that format at the mapping step.
- Keep amounts plain: no currency symbols and no thousands separators. In a spreadsheet, set the column's number format to General rather than Currency.
- Leave a cell in Amount, Credit or Debit blank when it would only hold a zero.
- If the bank adds the weekday to the date (20/11/2022 TUE), split the weekday into its own column.
- Keep each upload to 1,000 lines and 350 KB, and in English. Split a long period into date ranges.
If you build the file from pdf2text's plain CSV or Excel export instead: delete the document details above the transaction table and the summary below it, delete the Balance, Category and Confidence columns, and either keep Credit and Debit (the 4-column layout) or combine them into one signed Amount. The plain CSV puts an apostrophe in front of any value that starts with a minus sign, so spreadsheet programs don't read it as a formula; remove it from the amounts.
Step 2
Upload the file in QuickBooks Online
These are the steps on Intuit's US help page. The UK and Canadian pages use the same path.
- Go to All apps, then Accounting, then Bank transactions. In older menus it sits under Banking or Transactions.
- If you see a tile for the account, select it.
- Open the Link account dropdown and select Upload from file. For an account that isn't connected to online banking, the option may read Upload transactions or Upload transactions manually.
- Select Drag and drop or select files, choose the CSV or .qbo file, then select Continue.
- In the QuickBooks account dropdown, choose the bank or credit card account the statement belongs to, or Add New to create one. Select Continue.
- Match the columns (next section), then select Continue.
- Select the transactions to import, select Continue, then Yes and Done.
The transactions land on the Bank transactions page for that account, where you match and categorize them; bank rules you've set up apply as they come in. A .qbo file skips the column matching because it already says which value is the date and which is the amount. QuickBooks can't upload into a subaccount: connect the subaccount to its own bank feed or enter those transactions by hand.
Step 3
Map the columns
The mapping screen asks which column in your file is which QuickBooks field.
- Date: the Date column, and the date format your file uses. With pdf2text's QuickBooks CSV that's the format shown next to the QuickBooks CSV button.
- Description: the Description column.
- Amount: one column for a 3-column file, or Credit and Debit for a 4-column file.
- Before you continue, look at a few rows: deposits should show as money in and payments as money out. If they're the wrong way round, fix the signs in the file (money out negative) and upload it again.
Troubleshooting
Common errors and how to fix them
-
Dates rejected, or day and month swapped
The file mixes formats, or uses a different one from the format chosen at mapping. 03/04/2026 is 3 April in DD/MM/YYYY and March 4 in MM/DD/YYYY, so a wrong choice shifts every date up to the 12th without an error. Use the order the statement itself prints (Automatic in pdf2text's export menu does this), pick the same one in QuickBooks, and make sure every date has a year: some statements print only the day and month.
-
Money out shows as money in
In a 3-column file payments must be negative. Write them with a minus sign: turn brackets such as (86.40) and CR or DR markers into plain numbers. For a 4-column file, check Credit and Debit aren't swapped.
-
Amounts won't read
Remove currency symbols and thousands separators, and set the column to General. Leave zero-only cells blank.
-
Duplicate transactions
Upload each date range once. If a bank feed already brings in recent months, import converted statements only for the dates before the feed starts. Check the Bank transactions page for repeated lines and exclude them before you categorize.
-
Upload refused for a file with only money out
Intuit's workaround for a Credit and Debit file with no money in: add one line with a positive amount, then untick it on the final review step before you confirm.
-
File too large, or refused for its content
Keep to 1,000 lines and 350 KB per upload. Remove special characters from descriptions. Intuit's guidelines also say the file must be in English and to remove numbers from the Description column; try that if the upload still fails.
Last step
Check the totals against the statement
- Before the upload, the Balances check line in pdf2text tells you the rows add up from the opening to the closing balance. If it doesn't appear, compare the totals by hand: a missing or doubled row is the usual cause.
- Check the file too: the number of rows should match the transactions on the statement, the positive amounts should add up to its total deposits and the negative ones to its total withdrawals, to the cent.
- After the upload, reconcile the account in QuickBooks with the statement's ending date and ending balance. With the earlier periods already reconciled, a difference of 0.00 means nothing is missing or doubled.
