Convert BMO bank statements to Excel

BMO keeps seven years of eStatements in online banking, which covers most tax reviews, loan files and catch-up bookkeeping. The catch is that they're PDFs, and pasting one into Excel gives you broken rows and amounts that won't add. If you need those months as a spreadsheet or an import file, here is what to expect.

What to know about BMO statements

Descriptions that run onto extra lines

A long description often continues onto a second or third line, with the merchant on one and the location underneath. Copy-paste turns those into rows with no amount. Here the continuation lines are joined to the transaction they belong to, so one purchase stays one row.

Dollar signs in the amount columns

An amount printed as $1,250.00 is text to Excel, so it won't sum or sort properly. The output drops the symbol and the thousands comma and stores each amount as a plain number, negative for money out. Totals and pivot tables work without any cleanup.

One statement per account, every month

BMO issues a separate statement for each account you hold, monthly, and the paper and eStatement versions carry the same information. A year for two accounts is 24 files. Upload each account's statements as their own batch; a skipped month or a duplicate download gets flagged.

Accounting tip

In QuickBooks Online, add the QuickBooks-ready CSV through the bank account's upload option and confirm which column is which; Xero's statement import works the same way with the Xero-ready file. Sage Accounting also accepts a CSV of bank transactions.

  • Checked before export

Opening balance plus transactions is checked against the closing balance. Duplicate or missing periods are flagged.

FAQ

BMO statement questions

Do BMO credit card statements convert the same way?
They do. BMO's own card download only includes posted transactions, and a statement is posted-only too, but it adds a fixed period and balances to reconcile against. Purchases and payments carry different signs, so compare the total with the statement's new balance.
What if I need a statement older than seven years?
It won't be in online banking, so you'd need to ask BMO for a copy or use a paper statement you kept. Paper is fine: scan it and upload the scan. Text recognition reads it, and the balance check shows whether every line came through.
Can I convert a business account statement?
Yes. Standard business online banking includes e-Statements, and BMO also runs a separate platform, Online Banking for Business. Either way you end up with PDFs, and those are what you upload. Busy business statements are where retyping costs the most time.
Can I import converted BMO rows into QuickBooks or Xero?
Yes. Review the rows, then export a QuickBooks or Xero CSV.
